Information for Supervisors
For Students:
Students that have met all the requirements will need to do the following to apply for a position on campus. You can work at any of the following campuses and you can follow the following instructions based on campus.
Before Hired
Application/Resume
On Campus: Students interested in participating in the program should complete the student worker application along with an updated copy of their resume and submit it to the student worker contact at your campus. Student's applications will be kept on file throughout the academic year and interviews for available positions will be scheduled as needed. Students will be notified when positions are open based on their availability and skills required for a position. Mercy College on average employs 300 to 350 students a school year.
Off-Campus: Students interested in participating in community service must complete the student worker application along with an updated copy of their resume and submit it to the student worker contact at your campus. With a Work Study Community Service position you can work with an established work study Community Service Partner. Relationships have been and can be established with community service contact in the New York Metro area to facilitate the need for Federal Work Study eligible students to be involved with their community. In certain situations work study community service can be an option for students who have limited options on campus because of their availability and distance to Mercy College campuses. All students interested must be in contact with the Student Worker Program Coordinator.
Pre-Interview/Interview
All students will need to interview after work study status has been established and application requirements have been fulfilled. Students will be given information of all departments currently looking to place a student for a student worker position.
After Hired
Hiring Paperwork: All students interested in working as a student worker must fill out hiring paperwork once you have been hired by a department. Paperwork can be filled out at any of the contacts for all campuses and must be received by the Student Worker Program office before a student begins to work.
- Expect to fill out the following paperwork at all campuses and also make sure to bring in required identification:
Clearance Form
- W4
- I9 (Two forms of ID Required)
- Student Worker Contract
Timecards: All departments will be required to keep a record of all time for student workers on campus and off campus. All timecards will need to be submitted on a student's Mercy Connect account. Once timecards for the two-week pay-period have been submitted, the department supervisor will approve them and they will be paid out on the date due.

The following has been put together to assist all departments with the process of hiring student workers. The process has been broken up into sections which are specific to departments that are new into the student worker process, as well as support for departments as a reminder of the process of hiring a student worker.
How is a student worker hired to work?
All students have to go through the following process to be considered a candidate to be place in a position as a student worker. Take the time to interview a few candidates before you decide to hire. Keep in mind of what needs to be discussed prior to making your choice. The following should be discussed during interviews:
What hours is the student available?
Does the student commute or reside on campus?
Will the student be available on the weekends?
Is the student interested in working for fall and spring semester? summer?
Is the student eligible for work study?
Keep in mind those to ensure that the best candidate will be hired. Departments that forgo these steps are not guaranteed immediate replacement if a student is dismissed from a position.
Process for Hiring Student Workers
New Departments: Steps 1 - 10
Returning Departments: Steps 3 - 10
- Establish a Campus Employment Account with Finance and Budgeting Dept.
- Submit a Student Worker Job Description, identify:
- Department/Office/Campus
- Head of Department
- Supervisor
- Funding Desired Work Study & Campus Employment
- Responsibilities
- Skills Required
- Skills Students will be taught
- Semester
- Submit Job Order Form stating schedule needed, semester, and number of positions open
- Setup interview times made available to meet with students.
- Interview Students
- Fill out Interview Form
- Inform Student/Student Worker Program of hire (Student Worker Program, Career Services Bronx, Campus Management in WP, MA, and YH)
- Direct Student Hired to fill out Hiring Paperwork, once paperwork has been completed, Student is cleared to begin work
- Meet/Discuss Schedule/1st day with student
- Submit schedule to Student Worker Program
If a Student Worker Job Description or a Job Order Form have not been submitted, students will not interview, or be placed until one has been submitted for review.
After Student is Hired
- Submit Timecards based on Payroll Schedule
- Schedule time to review with students hired, Student Worker Orientation, available as an online presentation; submit Student Worker Orientation sign-off form.
- Schedule student to attend Student Worker Workshops.
- After Student has been placed for a 6 month period, students will be evaluated for their performance
- Monitor student worker earning through Student Worker Payroll Reports
- When student is low on work study funds, department must discuss plans to either change status of student or termination or position. Form(s) must be submitted before funds end so there will be no interruption of pay.
