Office 365 Email and Unity Voicemail Migration & Setup

IT services will be migrating the College’s email system over Memorial Day weekend to Microsoft Office 365. Office 365 is a cloud hosted communications suite that provides guaranteed uptime of 99.9%, enhanced data security, and several tools to enhance productivity. As part of this migration, the College’s voicemail system will also be migrated to Cisco Unity.

Please do not take any action until the migration is complete on or after Monday May 26, 2014.

Based on feedback from the College community, IT Services has modified its approach and will be performing all migration steps on behalf of each employee.  IT Services will migrate each user’s Calendar, Contacts, Tasks, Notes, Rules, Alerts, and RSS Feeds to the new Office 365 Email System.

  3. Please note after this migration is completed, there will undoubtedly be cases where users have issues. If you do encounter an issue, please email or call the Helpdesk. Accessing Email System on Tuesday, May 27, 2014

All users will start with an empty mailbox in the new email system, Office 365.  Effective Tuesday, May 27, 2014, the following links should be used for email access:

  • New Email – new email received following the cutover to the new system can be accessed by going to http://exchange.mercy.edu
    • For instructions on signing on to your Office 365 Account Click Here
  • Old Email – old emails received prior to the cutover to the new system can be accessed by going to http://legacy.mercy.edu.  This will be the location where you access all of your historical email.

If you have a College issued computer and normally use the Microsoft Outlook program to access and manage your email, you will need to wait until IT visits you and creates your new profile before using Microsoft Outlook to access your new email.  In the interim, you should continue to use the links above to access your email via the web for new and old email.

Over the next two to four weeks and following the cutover to the new email system, IT will be doing the following for each employee:

  1. Email: IT services will create PST archive files which will include all of your old email. These archive files can be viewed directly from your Microsoft Outlook desktop client, making access to old email much easier.  While these files will be easily accessible in the left navigation bar of your Microsoft Outlook desktop client, they will not be imported into your Office 365 email inbox.
    • Note: the deleted items folder will not be archived as part of the PST file.
  1. Calendar/Contacts/Tasks/Notes/Rules & Alerts/RSS feeds: IT Services will migrate this data to your new Office 365 Account.

Until IT migrates your contacts and calendar to the new email system, you will need to check your calendar in both systems, http://exchange.mercy.edu & http://legacy.mercy.edu

Voicemail Access and Setup

Employee Voicemail: all users will start with an empty voicemail box in the new voicemail system, Cisco Unity.   In order to configure and access your new VM, as well as access your old VM, see below:

  1. New Voicemail - all voicemails will be delivered to your new Office 365 Email account. In order to setup your new voicemail account, you must follow the below steps:
  • Click the "Messages" button on your desk phone
  • For your PIN, enter 123456
  • The system will prompt you to setup your name, personal greeting and to change your PIN
  • Once you have changed your PIN, the voicemail setup is complete.

  1. Old Voicemail - old voicemail can be accessed by going to: http://legacy.mercy.edu

Please note the following differences with the new voicemail system:

  • Voicemails will be delivered to your Office 365 Email Account in the form of a VoiceMessage.wav file. In order to listen to the voicemail, please double click on the .wav file to open in your media player
  • With the new Cisco Unity System, voicemail transcription & missed call notices will no longer be available

Q: When I come in on Tuesday morning, how will I access my email?

A: You will visit http://exchange.mercy.edu to access your new email and http://legacy.mercy.edu to access your old email.

Q: If I have a College issued computer, can I continue to access my email using the Microsoft Outlook desktop client?

A: Until IT visits you and makes the necessary changes on your computer, you should only use the following links to access email: http://exchange.mercy.edu to access your new email and http://legacy.mercy.edu to access your old email.

Q: How long will it take for IT Services to export my Calendar, Contacts, Tasks, Notes, Rules, Alerts, and RSS Feeds to my new Office 365 email?

A: It will take IT Services two to four weeks to complete this task for all employees.

Q: Will I always need to visit legacy.mercy.edu for old email?

A: If you have a College issued computer, IT will create an Outlook Data File (pst) for you which includes all of your historical College email that will be accessible from your Microsoft Outlook Desktop client.  Once this file is created for you, you will no longer need to access https://legacy.mercy.edu to view old email.  The process of creating these files for all employees will take two to four weeks.
